Accommodation - University of Leeds

Room Transfers

Transfer to a vacant room

From the 3rd October 2016, undergraduate residents are able to apply for a transfer to a vacant room. We ask you to complete a Room Transfer Form and when a suitable room becomes available we will contact you to arrange to view the room.

A copy of the Room Transfer form can be downloaded here or collected from Accommodation Services, Student Services Centre.

Room transfer forms will also be available in the Student Services Centre in the Marjorie and Arnold Ziff Building.

Completed forms can be e-mailed to accom@leeds.ac.uk or returned to the Accommodation Office, Student Services Centre in the Marjorie and Arnold Ziff Building. Forms are usually dealt with in date order and priority will be given to students with medical, financial reasons or other special reasons. If you have not been offered suitable accommodation within a month, we will email you and ask if you would like to remain on the waiting list. You must reply by the deadline stated otherwise you will be taken off the waiting list.

If you do not abide by the terms and conditions of your contract (eg not paying your rent on time) we reserve the right to not offer you a room transfer.

Room transfers are only available until 31st May 2017. After this date, only transfers to a room with the same contract end date (or longer) will be offered.

Many students apply to transfer within University accommodation in the first term. This means we have put very tight deadlines on every stage in the process. The following timetable sets out the maximum time scales (weekends, Friday 5pm - Monday 9am, are not included).

Stage 1 Fill in the room transfers form. If you have any corroborative evidence, for example a doctor's letter, you must bring this to the accommodation office as soon as possible.
Stage 2 When a suitable room is available the warden or the accommodation office will contact you by phone or email.
Stage 3 You must respond within 24 hours
Stage 4 You must go and see the room and/or the warden/accommodation office within 24 hours of stage 3.
Stage 5 You must let us know if you wish to accept within 24 hours of stage 4.
Stage 6 If you accept, you must move into the new room and vacate your old room within 48 hours of stage 5.

Students who move or swap rooms will be charged a £40 administration fee and the charge will be added to your residence account.
