We understand that starting university and moving in to your accommodation is an exciting time and that sometimes, it does not always go to plan. For many reasons, you may not have settled in to your new home and would like the opportunity to move room or residence if there is availability to do so.
Throughout the academic year, rooms occasionally become available in a number of residences. When this occurs, the Accommodation Office works to ensure that we match suitable students to the free rooms available. Please note, room transfers are not guaranteed and they are assessed on a case by case basis. They also rely on suitable rooms becoming available throughout the academic year.
Note: If you have identified a suitable student whom you wish to swap rooms with please do not complete the room transfer form. Instead contact the Accommodation Office directly via email email@example.com or call (0113) 343 7777.
Please submit a transfer request using this form. If you have any concerns regarding your current accommodation, or need to make any changes to an application you have already submitted, contact the Accommodation Office via firstname.lastname@example.org or by phone on (0113) 343 7777.
What happens next
Once we receive your application, a member of the Accommodation Office or the Residence Life team will contact you within 5 working days to discuss the reasons for your request.
Room Transfer applications are reviewed twice a week as we work to match students with suitable vacancies across our residences. Room transfers are only available until 31 May 2024. After this date, only transfers to a room with the same contract end date (or longer) will be offered.
If you break the Terms and Conditions of your current contract (e.g. do not pay your rent on time) we may not offer you a room transfer.
If you transfer rooms, you will be charged a £50 administration fee and the charge will be added to your residence account.
Deadlines you must meet
There are very tight timescales involved in the transfer process. You must follow these to get a successful transfer.
The following timeline outlines the maximum timescales. Note that weekends (Friday 5pm - Monday 9am) are not included.
- Complete the Room Transfer form. If you have any supporting evidence, e.g. a letter from your doctor, please submit this via email to email@example.com within 24 hours of submitting your application form
- If suitable room becomes available the Accommodation Office will contact you by phone or email. Please ensure that we have up to date contact details for you
- You must accept or reject the new accommodation offer within 24 hours
- If you accept your accommodation offer you must complete your move into your new room within 48 hours (includes vacating & returning keys to your old room)
